Meeting Minutes
September 12, 2002

Rose called the meeting to order at 7:13 pm.

August minutes were accepted with one change - 60 people attended the July reception.

Old Business:

The bylaws are still with Heather Wirth.

Hereford Fall Festival: Tom Ruhl reported that plans are going well. The festival will be held on October 18 from 11 am to 5 pm. Vendors need to be set by 10 am.
Paula Campenella passed out advertising flyers for businesses to distribute. 30,000 value-pac $1 off coupons will be distributed.
The HZBA has been offered a table, free if zone businesses become vendors.
Tom also offered the HZBA the opportunity to place announcements on the new Fire Department street sign.
Paula is coordinating the sign.

Fall Festival Participation: Final plans for the HZBA basket raffle were completed. A separate email will be sent to members calling for basket donations. Initial donation commitments were made (To be included in the email). Al moved and Bruce seconded that the proceeds be split evenly between the Fire Department and the HZBA. Motiom approved. Members were asked to bring donations to the next meeting.

Website Status: Glenn McCalley announced a meeting of the website committee for 7:30 am on Tuesday, September 17 at Greg's Bagels.
He suggested that the site contain an events calendar where organizations could list upcoming events. The committee will screen the listings for appropriateness.
He also suggested a banner advertising area where member businesses could display ads. And he mentioned that members can have inexpensive email addresses on the site.

New Business:

Nominating Committee: Rose made a call for volunteers for the nominating committee, and for expressions of interest for any of the officer positions. She needs to have the committee in place by next meeting.

Bruce praised Rose for the work she has done in getting the Zone up and running. All agreed.

Directory: Out of the discussion came a motion by Henry, seconded by Al, that a budget be established at 3600.00 for 25,000 copies of the next directory, funded from advertising income and that ad rates be set at $90 for members and $190 for non-members. Motion approved Cathy Cooper has a preliminary design which would allow for 40 or 45 ads. Since Cathy is doing the design work at cost, we should encourage the advertisers to employ Cathy's services to prepare their ads. A future email will set out the advertising possibilities.

Treasurers Report: Report showing a balance of $1,599.68 was presented. Henry moved acceptance, Glenn seconded. Accepted.

Presentations and Miscellaneous:

Tom Coffeen of the Hereford Optimists Club expressed the Club's desire to work with the HBZA, perhaps beginning in the spring of next year.

Neal Carmody presented remarks on how small businesses should work with their lawyer.

Bruce announced that Sisters Treasures was robbed during the day last month, expressing the need for networking for the protection of all.

The meeting adjourned somewhat after 9 pm.
